Privacy Policy
Version 2026-10-04. This explains what The Bookkeeping Canada Inc. ("we", "us"), the operator of BusinessPlanPilot, collects, why, and your choices.
1. What we collect
- Account details: your email address and, if you give it, your name.
- Your business information: everything you enter in the questionnaire — for example business name and location, owner name and experience, services and prices, expected sales, costs, staffing, startup costs and the funding you are seeking. This can include financial information about your business.
- Documents we generate for you: your business plan, financial projections workbook and funding report.
- Order and payment status: what you bought, the price, tax and total, the province, territory or state you told us at checkout, and whether payment was confirmed. Card details are entered on our payment provider's page and are never seen or stored by us.
- Your acceptance: when you accepted our terms, which version, and the internet (IP) address you accepted from.
- Technical records: a session cookie that keeps you signed in, and server logs that include IP addresses and the pages requested (including one-time sign-in links, which expire and work once).
- Our messages to you: a record that we sent you an email of a given type.
2. How we use it
To sign you in, take payment, prepare and deliver your plan, show your order status, email you about your order, help you if something goes wrong, keep the service secure, and meet legal and accounting obligations. We do not sell your information and we do not use it for advertising.
3. Automated processing and public sources
Your plan is produced by software. To add context, the software queries public sources (for example government statistics and open business-licence data, and published funding-program pages) using general details such as your industry and location. It does not send your name, email or financial figures to those sources. We do not currently use an artificial-intelligence service to process your information; if we introduce one, we will update this policy before using it.
4. Who else handles your information
- Payment provider (Stripe): processes your payment under its own privacy policy.
- Email provider: delivers our emails to you (sign-in links, receipts, notices). Emails do not contain your plan.
- Hosting provider: stores the service's data and runs the software.
We may also disclose information when the law requires it or to protect our rights. Our providers may process information in countries outside the one where you live.
5. Storage, security and how long we keep it
Your information and generated documents are stored on servers run by our hosting provider so that you can return and download your plan. Access is limited to you (through your signed-in account) and to authorised people who run the service. We use one-time sign-in links, secure cookies and access controls, but no system is perfectly secure.
We do not currently delete information automatically. We keep your account, order and plan information for as long as we need it to provide the service and meet our legal and accounting obligations, and we delete it earlier if you ask (section 6). Payment records held by Stripe, and financial records we are required to keep, may be kept for as long as the law requires.
6. Your choices
You can ask us to give you a copy of your information, correct it, or delete your account and the plans we hold for you. Email us (below) from the address on your account. We will confirm what we have deleted; records we must keep for legal or accounting reasons are kept in reduced form.
7. Cookies
We use only the cookie needed to keep you signed in and protect forms. We do not use advertising or analytics cookies.
8. Children
The service is for adults running or starting a business and is not directed to children.
9. Changes
We will update this page when our practices change; the version date above shows the current text.
